Office/Operations Coordinator
20 hours per week, $20.00 - $22.00 per hour (DOE). The typical work schedule will be onsite in Roseville, M – Th, 1-6:00 p.m. (some flexibility can be discussed). Summer hours may vary for the Summer Camp Program (June & July). There may also be some evenings/weekends when community events are scheduled (with advanced notice).
Office/Operations Coordinator responsibilities include:

Administrative support to the Executive Director

Answer and return phone calls, emails and correspondence pertaining to programs and operations of the nonprofit

Review facility checklist to ensure smooth operation
-
Ensuring implementation of policies and practices
-
Maintaining attendance records, membership database updates, filing system and contact lists
-
Administrative support for fundraisers
-
Assist in the preparation of regularly scheduled reports
-
Help build positive relations with RPAL members and the community. Represent RPAL at events in the community

Update and maintain office policies and procedures
-
Inventory office supplies and research new deals and suppliers
-
Provide general support to visitors
-
Coordinate office activities and operations to secure efficiency and compliance to company policies

Provide support for budgeting and bookkeeping procedures
-
Create and update records ensuring accuracy and validity of information
-
Schedule and plan meetings
-
Resolve office-related and facility malfunctions and respond to requests or issues

Other program and administrative tasks as assigned
Job brief
We are looking for an enthusiastic and competent Office/Operations Coordinator to undertake a variety of administrative and operation management tasks. You will provide direct administrative assistance to the Executive Director and take on a lead role in operational duties. You may also be asked to help in planning and organizing programs and activities as well.
To be an excellent office/operations coordinator, you must be outgoing, organized, detail-oriented and comfortable working with diverse groups. You must also be willing to talk with parents and the community about our programs.
Requirements and skills

Equivalent to a high school diploma and must be 18 years old

Must pass a Livescan background check

Good time management, leadership and organizational skills

Positive attitude, self-motivation/self-starter, ability to adapt and troubleshoot

Close attention to detail and the ability to plan ahead

Administrative and clerical skills, including MS Office and Google Docs/Sheets
-
Interpersonal skills, including outstanding written and verbal communication

Ability to quickly learn to use office equipment
-
Knowledge of Canva is highly desirable
-
Bilingual in Spanish is not mandatory but highly desirable

You will help in planning and organizing programs and activities as well as carry out important operational duties. Our current programs include: art, cooking, sports & games and STEM activities.
